How long we
keep things.
- Your letters stay. We keep the text of every letter for six years — the same horizon as your own books — so “what did we tell our donors?” is always answerable.
- Photos that went out in a letter stay about two years, then are replaced with a blank card. Photos you never sent are removed after about six months.
- If someone in a photo asks you to take it down, tell us and we will remove it from Evergreen.
- Notes, bulletins and texts you send in are kept while a letter built from them is live — about two years after the last send, six months if nothing was sent.
- PDFs and forwarded emails are read once and never stored. Text-message conversations are trimmed a month after they end.
- The record of who each letter went to is kept for three years, so we can show your donors agreed to hear from you.
- Your material is processed on Mindful Give’s servers in the United States and is never used to train anything.
